How to calculate freight charges for ocean, air and road shipments in the USA and Europe

Knowing how to calculate freight charges saves you from the most common shipping surprise. Two loads with the same weight can land on two very different invoices. Carriers bill on space, mode, distance, and a stack of surcharges - not on weight alone.

As a result, 2026 has made that stack harder to read. On September 17, Drewry's World Container Index rose 1% to $4,500 per 40ft container. Shanghai to New York sat near $9,726, while Shanghai to Rotterdam sat near $3,997.

Price note: These figures are market estimates drawn from published industry benchmarks - they are not quotes. Every carrier sets its own rates, surcharges, and minimums, so the price for your shipment will differ. For an exact figure, request a quote for your specific cargo and lane.

By the end of this page, you'll know exactly how freight charges are built for ocean, air, and road. You'll see the formula for each mode, how chargeable weight works, and which surcharges sit on top. We price freight every week across our USA and Europe corridors, so this is the method our team actually uses.

Quick Facts: Freight Charges in the USA and Europe

Chargeable weight: you pay on actual or volumetric weight, whichever is higher.
Air formula: L x W x H (cm) / 6,000 = volumetric weight in kg (IATA standard).
Ocean LCL: billed per W/M, where 1 CBM counts as 1,000 kg.
US road (LTL): priced by freight class, set mainly by density since July 19, 2025.
EU road groupage: priced per loading meter (LDM) of trailer length.
Surcharges: fuel, currency, port, and peak-season fees sit on top of the base rate.

The Process

How to Calculate Freight Charges for Ocean, Air, and Road

Every freight quote follows the same structure: a measured load, a base rate, and charges on top. Once you see the structure, the price stops looking random.

What is a freight charge?

A freight charge is the price to move cargo from origin to destination: a base rate plus surcharges and accessorial fees. Quotes use several names for it:

  • Freight charge: the core transport cost, based on chargeable weight, volume, or distance.
  • Freight fee: often the same thing, or a single line such as a handling or documentation fee.
  • Freight delivery charge: the cost of the final leg to the consignee, often a separate line on international moves.

For example, always check which one a quote shows. A low freight charge with a long fee list can cost more than an all-in rate.

Chargeable weight: the number you really pay on

Carriers bill on whichever is higher: the weight on the scale or the space your cargo takes. A pallet of foam and a pallet of steel can fill the same space. Volume therefore gets its own weight value:

  • Actual weight: cargo, packaging, and pallet on a certified scale.
  • Volumetric weight: a weight calculated from the outer dimensions with a fixed ratio per mode.
  • Chargeable weight: the higher of the two - the figure on your invoice.

Express couriers usually divide by 5,000 instead of the airline standard of 6,000. The same box costs more through a courier than through an airline.

The freight charge formula in five steps

Every accurate quote runs through the same five stages, from one pallet to a full container.

1

Measure and weigh

Record packed length, width, height, and gross weight - pallet included.

2

Find chargeable weight

Apply the mode ratio, compare with actual weight, and keep the higher.

3

Apply the base rate

Per kg for air, per W/M or box for ocean, per class or mile for road.

4

Add surcharges

Fuel, currency, port, and peak-season fees, as a percentage or flat fee.

5

Add accessorials and customs

Liftgate, residential delivery, storage, duties, and clearance close the price.

In other words, each mode bills in its own unit. Get the unit right and you can estimate any freight charge in minutes.

ModeBilling unitHow it worksBest for
Ocean FCLPer containerFlat rate per 20ft or 40ft box, plus surchargesRoughly 15 CBM or more
Ocean LCLPer W/M (revenue ton)Greater of CBM or metric tons x rateLoads under ~15 CBM
AirPer chargeable kgGreater of actual or volumetric weight (/ 6,000) x rateUrgent, high-value cargo
Road LTL (USA)Per hundredweight, by classFreight class set mainly by density x lane rate1 to 6 pallets
Road FTLPer mile or per tripDistance x per-mile rate + fuel surchargeFull or dedicated trucks
Road groupage (Europe)Per loading meterTrailer length used x ratePart loads on EU corridors
These are indicative calculation methods under standard freight conditions. Each carrier applies its own minimums, divisors, and tariffs, so confirm the exact basis for your lane before booking.

How to calculate ocean freight charges

For a full container, you pay per box, however full it is. For LCL, the carrier compares cubic meters with metric tons and charges the higher figure. One tonne per CBM is the break-even density in ocean freight.

Worked example - LCL

Cargo volume3.0 CBM
Cargo weight1,800 kg = 1.8 t
Billed on the higher figure3.0 W/M

The base rate moves every week, and the lane matters as much as the mode:

Spot lane (40ft container)Drewry WCI - Sep 10, 2026Week on week
Shanghai to New York$9,726+1%
Shanghai to Los Angeles$7,352+2%
Shanghai to Genoa$4,216-3%
Shanghai to Rotterdam$3,997-2%
Price note: These figures are market estimates drawn from published industry benchmarks - they are not quotes. Every carrier sets its own rates, surcharges, and minimums, so the price for your shipment will differ. For an exact figure, request a quote for your specific cargo and lane. These spot averages assume standard conditions in a normal sailing scenario. They exclude delays or costs caused by political, geographical, weather, congestion, or seasonal circumstances, and they do not include origin or destination handling and customs.

Capacity moves the price too. Drewry expects 79 blank sailings out of 721 planned on the major East-West trades between weeks 38 and 42 (Drewry Cancelled Sailings Tracker). For FCL and LCL options, see our Ocean Freight service and our ocean freight transit times from the USA guide.

How to calculate air freight charges

Air freight is where volumetric weight bites hardest. The IATA standard divides length x width x height in centimeters by 6,000. About 167 kg per CBM is the break-even point in air freight.

Worked example - Air

2 pallets, 120 x 80 x 100 cm each960,000 cm3 each
Volumetric weight (/ 6,000 x 2)320 kg
Actual weight180 kg
Chargeable weight320 kg

Right-sizing the packaging is the cheapest saving in air freight. For instance, take 20 cm off each pallet height above, and the chargeable weight drops by 64 kg.

Rates stay firm heading into peak season. The Baltic Air Freight Index sat 20.9% above last year on September 21, and jet fuel ran 116.5% higher year on year (TAC Index via Air Cargo News). For time-critical cargo, see our Airfreight service.

How to Calculate Freight Charges for Road Freight

Road freight uses three different logics, depending on load size and region:

How to calculate freight charges for road freight: class, per mile and loading meters
  • LTL in the USA (freight class): NMFTA moved LTL classification to a 13-tier density scale on July 19, 2025. Freight at 50 pcf or more now rates Class 50 (NMFTA).
  • Truckload (per mile): in August 2026, van spot linehaul averaged $2.19 per mile, reefer $2.61, and flatbed $2.70, before fuel (DAT).
  • Groupage in Europe (loading meters): one loading meter equals one meter of trailer length. A Euro pallet takes about 0.4 LDM, and a 13.6 m trailer holds 33. See our Road Freight Europe service.

Worked example - US LTL freight class

Pallet 48 x 40 x 48 in, 900 lb53.3 cu ft
Density (900 / 53.3)16.9 pcf
Freight class on the density scaleClass 70

Worked example - US truckload per mile

Distance1,000 miles
Van spot linehaul + fuel (August 2026)$2.19 + $0.70 per mile
Estimated freight chargeabout $2,890
Price note: These figures are market estimates drawn from published industry benchmarks - they are not quotes. Every carrier sets its own rates, surcharges, and minimums, so the price for your shipment will differ. For an exact figure, request a quote for your specific cargo and lane. The per-mile figures above are national averages, used only to illustrate the method - real lane rates also vary by region, season, and equipment.

Surcharges and accessorials that change the price

The base rate is rarely the final number. These lines are where most quotes grow:

  • Fuel surcharge (BAF / FSC): tracks fuel prices, weekly on road and monthly on ocean.
  • Peak season surcharge (PSS): appears when demand spikes, per container or per kg.
  • Currency adjustment (CAF): protects the carrier against exchange-rate swings.
  • Terminal handling (THC): port charges at origin and at destination.
  • Accessorials: liftgate, residential pickup or delivery, inside handling, and storage.
  • Customs and duties: clearance fees plus any duties and taxes at destination.

Therefore, ask for an all-in quote that lists every line. It is the only fair way to compare two offers.

Frequently Asked Questions

What is the difference between a freight fee and a freight charge?+

A freight charge is the core cost of moving your cargo, based on chargeable weight, volume, or distance. A freight fee often means the same thing, but it can also mean one added line, such as a handling or documentation fee. We send itemized quotes, so you see the base charge and every fee separately.

How do I calculate freight cost per item?+

First, calculate the total freight charge, including surcharges and accessorials. Then divide it by the number of units. For mixed shipments, split the cost by each item's share of the chargeable weight or volume.

What is a freight delivery charge?+

A freight delivery charge covers the final leg from the terminal, port, or airport to the consignee's door. Distance, access, and equipment drive it, and liftgate or residential delivery add accessorial fees. On international moves, confirm whether your quote is door-to-door or ends at the port - our customs clearance team can cover the destination side.

Is there a heavy equipment shipping calculator I can use?+

Online calculators give a rough range for standard freight, but they cannot price heavy equipment accurately. Permits, trailer type, escorts, and route surveys change with every load. Send us the exact weight and dimensions and we price it properly - see our guide to heavy haul loads.

How do I get an accurate freight quote from GreenLine Global?+

Email sales@greenlineglobal.com or use our contact form. Send the pickup and delivery points, the cargo type, the packed weight and dimensions, the number of pieces, and your ready date. Add any liftgate, residential, or customs needs, and we return a firm, all-in rate.
